Biometric Attendance Software — Without the Hardware

Face-verified, location-checked attendance from each staff member’s own phone. No shared fingerprint readers, no kiosks at the door, no morning queues. Biometric proof of presence, with privacy by design.

PDPL-compliant · No shared touch surfaces · Mobile-first · Free up to 25 staff

Biometric attendance, minus the queue at the front desk

Traditional biometric attendance means a shared scanner, a queue, recurring hardware costs, and a long list of failure modes — humidity, dust, broken readers, and shared touch surfaces. The phone in each staff member’s pocket already has a camera, GPS, and an internet connection. CampusTrack uses that to verify presence: the live selfie is matched against an enrolled face, the GPS confirms the person is inside the work zone, and the check-in is recorded with a tamper-resistant audit line. Biometric where it matters; without the hardware.

Face as the biometric

A live selfie at check-in is compared against an enrolled photo. Match runs server-side so cheaper phones work. No physical reader to share, break, or replace.

GPS as the location biometric

Geofencing confirms the staff member is inside the school, campus, site, or post at the moment of check-in. Outside the zone, the check-in is flagged automatically for HR review.

Each staff member uses their own phone

No queue at a shared device. No hand-holding over a public touch surface. Works on any modern smartphone. PWA-first with native app wrappers available.

Anti-spoofing built in

Liveness checks prevent printed-photo or screen-replay tricks. Suspicious patterns (impossible GPS speed, device change, time mismatch) are flagged for HR rather than silently accepted.

PDPL-compliant by design

Explicit consent capture on first use. Encrypted storage. Configurable retention period for biometric records. Data subject rights (access, correction, erasure) supported through the staff app.

Live attendance feed

Managers see who is checked in right now, by site, with match confidence and location score. Anomalies (location mismatch, unusual time, device change) are surfaced in real time.

Configurable retention & auto-deletion

Biometric records are auto-deleted after the configured retention window. Audit history is retained separately without the biometric image, keeping the trail without holding personal data forever.

Multi-site, multi-shift, multi-tenant

One platform across every site, branch, post, or campus. Strict data isolation per branch. Role-based access keeps each manager scoped to their own staff.

The biometric flow, end to end

01

Enrol once

Staff member is photographed in good light during onboarding. Photo is encrypted and stored. Consent captured and timestamped.

02

Check in from any zone

Staff opens the app at the work location, takes a live selfie, and confirms. GPS + face match run together in under 2 seconds.

03

Live audit recorded

Match confidence, location, device, and time are recorded against the staff record. Visible to staff, manager, and HR with role-based access.

04

Anomalies surfaced

Out-of-zone, low-confidence, or unusual patterns are flagged for HR review rather than silently accepted. Manager makes the decision; the AI does not.

05

Auto-deletion at expiry

Biometric records auto-delete after the configured retention period. Audit summary retained without biometric image to keep the legal trail without indefinite data.

Built around UAE compliance, not adapted to it

UAE PDPL biometric handling

Federal Decree-Law No. 45 of 2021. Explicit consent on first use. Encrypted at rest. Configurable retention. Subject access, correction, and erasure rights supported through the staff app.

No shared touch surfaces

Each staff member uses their own phone. No hygiene risk, no queue at a shared device, no recurring sanitisation overhead. Hygiene-conscious by design.

MOHRE working-hour evidence

Attendance records are tamper-resistant and audit-ready. Working-hour totals support UAE Labour Law evidence requirements (Federal Decree-Law No. 33 of 2021).

No third-party AI provider receives biometric data

Face matching runs inside our own infrastructure. No staff photos are sent to external AI vendors. Aligns with PDPL consent and biometric-handling expectations.

Frequently asked questions

Is face matching really biometric for compliance purposes?
Yes — face is a recognised biometric category alongside fingerprint and iris. The PDPL treats facial geometry as biometric data and requires explicit consent, encryption, and retention controls. CampusTrack applies all three by default.
How accurate is the face match?
Approximately 98% in good conditions. Match quality is shown to the manager on every check-in so borderline cases (low light, unusual angle) can be confirmed manually rather than silently rejected. Hard rejections require a human decision.
What about spoofing — printed photos or video replays?
Liveness checks (subtle micro-movement detection, depth signals) reject obvious replay attempts. Combined with the GPS zone check and device-binding signals, the combination is harder to spoof than a fingerprint scanner that takes any finger pressed against it.
How long are biometric records kept?
The retention period is configurable per organisation and aligned with your data-retention policy under PDPL. The audit trail (who checked in, when, where, with what confidence) is retained separately without the biometric image, preserving the legal trail without holding personal data indefinitely.
Is this really cheaper than fingerprint readers?
For a single small office, a fingerprint reader can be the cheaper sticker price. For a school, multi-site organisation, or any setup that would need more than one reader, the avoided hardware, replacement, and maintenance costs typically pay back within a year.
What about staff who do not want to use their phone?
Most UAE staff already do, but for the exceptions: a shared tablet at the entrance can be used as a kiosk. The face match runs the same way. Hardware cost stays minimal — one shared kiosk replaces a per-door reader.
